1. Information We Collect

• Academic Profile Details: JEE Main/Advanced score or rank, state entrance test ranks, Class 12th percentage, preferred engineering branch, and budget range.
• Onboarding Data (For Colleges): Representative name, designation, official email, phone number, and institutional documentation.
• Technical Data: IP Address, browser type, device information, cookies, and usage logs.

Your Planning Tools and Appointments

Anonymous application tasks, budgets and shortlists are stored on your browser. Account application tasks are stored against your account and can be edited or deleted in the tracker. Deadline reminders are off until you opt in. Calendar export downloads the dates you entered; your calendar app manages imported notifications.

Appointments store your name, email, mobile number, question, contact consent and booking status so the team can manage the session. Keep your booking reference private: it permits checking and cancelling that booking. Contact us to request deletion of appointment details.

Reviews are submitted for moderation. A published review shows the account name, ratings, comment, approved images and date. Registration does not verify attendance at an institution. The guide assistant matches questions to our written guides and does not forward questions to an external AI provider.

Messages sent through the counselling form and message page are private requests. Administrators can review and assign them; counsellors can access only their assigned requests. Replies are saved with the conversation, while internal staff notes and follow-up dates are visible only to the team. Anonymous tracking uses a private code; anyone with that code can access its conversation. Keep it private and contact us if it is lost or disclosed.

2. How We Use Your Information

We use the collected personal and academic data for the following purposes:

• To match your academic profile (JEE Rank, budget, branch choice) with eligible engineering colleges.
• To provide free counselling and advisory services through our verified panel of academic experts.
• To process and review onboarding applications submitted by engineering institutions.
• To send OTPs, verification emails, SMS alerts, and updates regarding your admission status.
• To analyze web traffic and improve the platform's user experience.

3. Data Sharing and Disclosure

BtechHelpline is a matching and information portal. To fulfill our service of assisting you in finding the right college, we share your data under strict guidelines:

• With Partner Colleges: When you explicitly request partner sharing, the relevant enquiry details may be shared with a college admissions team for that request. The optional partner-sharing checkbox is separate from permission for our counselling team to contact you.
• With Verified Counsellors: Your profile is shared with our onboarded academic advisors to assist in organizing personalized counseling lists.
• Legal Requirements: We may disclose information if required to do so by applicable laws, court orders, or government agencies under IT Act 2000.

Note: We do not sell or lease your contact information to third-party marketing companies for purposes unrelated to engineering admissions.

4. Data Retention and Security Practices

We implement reasonable security practices and procedures (including SSL encryption, secure MongoDB access controls, and hashed password storage) to protect your personal data from unauthorized access, alteration, or disclosure.

We retain your personal data for as long as necessary to provide counseling services, satisfy institutional guidelines, or resolve dispute queries, after which it is anonymized or deleted securely.

5. Your Legal Rights

Under the SPDI Rules, you have the following rights regarding your personal information:

• Right to Review and Rectify: You can access, review, and correct your academic profile and contact details directly through your Student Dashboard.
• Right to Delete (Right to be Forgotten): You may request the deletion of your account and personal data from our databases at any time.
• Withdrawal of Consent: You can withdraw your consent for future data sharing or contact by writing to us.

6. Cookies and Tracking

Essential browser storage keeps your login, shortlist, saved scholarship-resource IDs, budget, planning tasks and preferences available on this device. Optional Analytics on the public site loads only after you choose to allow it. You can change that choice using Cookie preferences in the footer. Clearing browser storage removes browser-only tasks and saved preferences.
